AI assistants

AI assistants for car rental companies

Not a chatbot bolted to a contact form. An assistant wired into your live availability and your real prices, so the answer a customer gets at midnight is the answer you would have given at noon.

You are answering the same forty questions every week.

A rental customer is comparing you against two other companies on their phone. The one who answers first with a real number usually takes the booking.

Before they will book anything

  • Do you have an automatic for the 12th to the 16th?
  • How much is a week in August?
  • Can I collect at the airport, and is there a fee?
  • What is the deposit, and when do I get it back?

The ones that decide whether they trust you

  • What insurance is included, and what is the excess?
  • I am 23, can I drive it?
  • Can I drop it off at a different office?
  • My flight lands at 01:40, is anyone there?

None of these need you. Every one of them needs your prices and your availability, which is exactly why a generic chatbot cannot answer them and why a person currently has to.

Where the answer actually comes from.

  1. Customer messages

WhatsApp, in their own language, at whatever hour they are awake.

  2. The request is read

Dates, vehicle class and collection point pulled out of ordinary conversation, not a form.

  3. Your systems are queried

Live availability and your real rates, read from the system you already run.

  4. The answer goes back

The same figures you would have quoted, in the language the question arrived in.

  5. You get it, or you do not

A complete enquiry lands with you. A routine question never reaches you at all.

It reads the system you already run. It does not replace it.

Rental companies do not want a second place where the fleet lives. A copied fleet drifts from the real one within a week, and then the assistant is confidently quoting a car that went out yesterday.

Where your rental system exposes a way in, the assistant reads availability and rates from it directly. Where it does not, we say so before quoting rather than after, and the assistant captures the enquiry cleanly and routes it to you instead of guessing.

What it answers, and what it refuses to guess at.

Any system can be sold as answering everything. The useful question is where it stops, because that line is the difference between an assistant and a liability.

It answers

  • Whether a vehicle class is free on given dates, read live
  • The price for those dates, at your real rates
  • Deposit amount, and what releases it
  • What the insurance covers and what the excess is
  • Minimum age and licence requirements
  • Collection and return points, including airport, and any fee
  • One-way and out-of-hours charges where you have set them
  • What happens next, and what you need from the customer

It hands to you

Nothing is available
The commonest handover in the Voyage data. The assistant says so and passes it to you rather than offering something you did not agree to substitute.
Anything that is a commercial decision
A discount, a long-let rate, a waived fee, a favour for a returning customer. The assistant has no authority to price and does not pretend to.
Damage, disputes and anything already gone wrong
These need a person from the first message, and are routed straight to you with the thread attached.
Anything it was not given an answer for
Where the rules do not cover a question, it hands over instead of inventing a plausible one. A confidently wrong answer about an excess costs more than a slow one.
