Booking and availability

Car rental booking systems built around your existing operation

Not another platform to move your fleet into. The customer-facing side, the availability, the booking and the confirmations, joined to the rental system you already run.

Read this bit first.

This is not rental management software you sign up for. There is no dashboard here that replaces the system your counter staff already know, and no migration where your fleet gets retyped into somebody else’s database.

It is the customer-facing half built and connected around what you run now: the website that quotes, the availability behind it, the booking that gets captured and the confirmations that go out.

If you are shopping for fleet management software, you want a different kind of company, and it is quicker for both of us to say so here.

Where the availability comes from.

Three cases, and which one you get is decided by your rental system, not by what we would prefer to sell.

  1. Your rental system, read live

The best case, and the one we look for first. Availability and rates are queried at the moment the customer asks, so the site quotes what your system says and nothing has to be kept in step by hand.

  2. A scheduled read

Where a system will only export on a timer, the site works from the most recent pull and says how recent it is. Slower than live, still nobody retyping a fleet.

  3. Rules you set, no live feed

Where nothing can be reached, the site quotes from your published rates and captures the enquiry completely, with dates, class and driver. It never invents an availability it cannot see.

What a booking carries, and what goes out after it.

Captured

  • Dates and times, collection and return
  • Vehicle class, and the rate quoted for those dates
  • Collection and return points, including airport
  • Driver name, age and contact
  • Extras asked for, and any deposit terms shown
  • The full conversation, where it began as a message

The point of the list is that none of it arrives later by message. An incomplete booking is the one that costs an hour on the phone the morning someone lands.

Confirmed

To the customer
What they booked, for which dates, at what price, where to collect it and what to bring. In the language they wrote in.
To you
The same booking in one place, with everything above attached, so nobody reconstructs it from a message thread.
Into your arrivals list
One list of who is arriving and when, rather than a booking in one app and a note in another.

Can your rental system be connected?

This gets checked at the first stage, before anything is quoted, because the answer changes what is worth building. There are three outcomes and one of them is a no.

See what determines the cost of a car rental website

It exposes an API or a feed
Then availability and rates are read directly, and this is the straightforward case.
It exports on a schedule
Then the site works from the latest export and shows its age. Workable, with a stated lag.
It offers nothing at all
Then we say so before you commit, not after. The site still sells and still captures enquiries completely, but live availability is not on the table, and pretending otherwise would only produce quotes you have to correct.
Built and measured

Voyage Rent A Car was the first case, read live.

Its availability was queried against the real rental system rather than a copy, which is the whole reason the answers a customer got were the answers the owner would have given.

Measured from the Voyage Rent A Car WhatsApp export, 21 June to 1 September 2026: 35 customer contacts, 160 inbound messages, 174 replies. The owner's own handset and the OwnerDeck test line are excluded, which removes 119 rows. Read the case study, including what the data cannot show.

Three plans, all published.

Site

Full Deck

Excluding VAT. You pay 40% to start and 60% on launch, and the monthly begins on launch day. One month’s notice to stop.

Tell us what rental system you run.

That one answer decides most of this. We will check what it exposes, tell you which of the three availability cases you are in, and what it would cost to build the customer-facing side around it.
